Adding a New Family Application

 

Everything you need to enter an application is located directly on the Add New Family Application screen. To speed up data entry and make it easier to find the information you are looking for, the Add New Family Application screen has 6 sections:

 

You can use the Family Members section to enter basic information about the applicant and his/her family members. Once you've added this information and saved your application, you can return to it by clicking on Services > Family Application > Family Members.Family Members

 

You can use the Family Information section to record information about the family's address, phone number(s), parental status, relationship to participants and primary language. Once you've added this information and saved your application, you can return to it by clicking on Services > Family Application > Family Information.Family Information

 

You can use the Family Income section to record information about the family's income. Once you've added this information and saved your application, you can return to it by clicking on Services > Family Application > Family Information.Family Income

 

You can use the Family Emergency Contacts section to record the family's emergency contacts and release authorizations. Once you've added this information and saved your application, you can return to it by clicking on Services > Family Application > Family Information.Family Emergency Contacts

 

You can use the Enrollment section to create an enrollment recordfor the participant. You can also use it to determine eligibility. Once you've added this information and saved your application, you can return to it by clicking on Services > Enrollment.Enrollment

 

You can use the Immunizations section to document an applicant's immunization status. Once you've added this information and saved your application, you can return to it by clicking on Services > Immunizations.Immunizations

 

Keep in mind, you don't have to fill out each field in order to input an application. You can enter whatever information your agency tracks in the initial application and then return to complete the rest of the information in ChildPlus later.

 

To add a new family in ChildPlus:

1. Click Add Family. Show me.
   
   
2. Complete each of the fields for the applicant. What if I want to add a family member who is not an applicant first? You can change the type of family member you want to add by making a different selection in the Adult or Child and/or Applicant list.
3. To add another family member, click Add Member and chose the type of family member you want to add.
   
   

To speed up the initial application process, you can just enter the primary adult and applicant.  You can always go back and add additional family members later.

To delete a family member from an application:   Go to the Family Members section of the Add New Family screen. Locate the family member you want to delete Click Remove Family Member. Show me. Click OK to confirm that you want to delete the family member.

5. Complete the Family Information section of the screen. In this section, you'll provide details about the family's:

• address
• phone number(s)
• Parental Status
• Relationship to Participants
• Primary Language at Home

5. Complete the Family Income section of the screen. In this section, you'll provide details about the family's income sources. You can also use this section to document how the family's income was verified.
6. Type the name of the first emergency contact for the family in the Add Emergency Contact box and complete their information. Repeat this step for each of the family's emergency contacts.
7. Use the Enrollment section of the screen to create an participation record for the applicant. You can also go ahead and record their Location Preferences and Eligibility information.
   

If you don't want to enter this information in the initial application, you can add it via the Enrollment module or Entry Express - Enrollment later.

8. Use the Immunizations section of the screen to add the applicant's immunizations information.

9. Do one of the following:
   • Click Save, Review and Sign to save the current application and preview it on the screen (you should choose this option if you'd like to go ahead and have the parent/staff member sign it electronically)
   • Save and Add Another to save the current application and add another one
   • Save and Close to save the current application and return to ChildPlus
     
     

Once you leave this screen, you won't be able to return to it. You'll still be able to print the application by clicking Print Application on the Application screen or by running report 2135 - Print Applications.

Tip
	For faster data entry, try to avoid using the mouse. You can move from field to field faster using the Tab key.
	You can tab backwards by using Shift + Tab.
	You don't need to type slashes or hyphens for dates. For example, if the date you want to enter is 08/19/09, you can type 081909. If the date you want to enter is for the current year, you can just type the month and day (for example, typing 0909 will give you a date of 09/09/21).
	When you tab into any date field, you can press + or - on your keyboard to enter today's date. You can increment or decrement the date by continuing to press the + or - keys.
	Don't forget that ChildPlus automatically capitalizes the first letter of each word you type. This saves you time because it means you don't have to press the Shift key to capitalize words while you are typing. For example, if you type 134 south main street, ChildPlus will display it as 134 South Main Street on the screen.
	If you are on a field that has a drop-down pick list, you don't need to use your mouse to select the code you are looking for. Instead, you can just type the first few letters of the code.
	Be sure to set up your Data Entry Defaults and turn on the ZIP Code Lookup feature.
	If you tab through a row in the Family Income section without entering anything, ChildPlus will skip the rest of the rows.
	Use hotkeys Alt+A to Save and Add Another application or Alt+S to Save and Close the application.
	To delete a family member from an application while you are still in Add New Family:   Go to the Family Members section of the Add New Family screen. Locate the family member you want to delete Click on the Adult or Child list and choose the blank option. Show me. Click OK to confirm that you want to delete the family member.
